Before Quoting a Spreadsheet Result, Record Its Calculation Context
Before quoting a spreadsheet result in report notes, identify the exact file and cell, preserve the displayed entry, and establish what is known about its calculation context. Seeing a number does not establish that it was refreshed from the intended inputs. If a result and its supporting information do not agree, keep the difference visible and ask the document owner for clarification instead of silently replacing the received value.
This is a manual source-preparation workflow for people using the StateClaimAI field-adjuster drafting workflow. It does not audit spreadsheet logic, calculate claim values, or decide coverage, liability or payment. It also does not claim that StateClaimAI imports workbooks or checks formulas. The purpose is to prepare accurate, source-located notes for human review.
Separate what is displayed from how it was produced
A screenshot can show the entry a sender saw, but it may not show the cell's formula, the relevant inputs or the calculation setting. A PDF export and a workbook are also different source forms. Identify which form you actually received and inspected; do not describe access to a screenshot as inspection of the underlying workbook.
Microsoft's documentation on formula recalculation in Excel explains that calculation can be automatic or manual. Its separate explanation of replacing a formula with its result shows that a cell can retain a value after its formula is removed. Those limited software facts support a practical review question: what evidence connects this displayed entry to the calculation the writer intends to describe?
They do not establish that a particular workbook is wrong or out of date. A manual setting alone does not prove that the displayed result is stale. An automatic setting alone does not prove that the chosen inputs, formula or source version are correct. Record the observed setting only when it was actually inspected through the authorised process.
Start with the file and the intended statement
Write down the received file reference, version or receipt identifier, worksheet name and cell address. Keep the table title and relevant labels with that locator. The row, column and footnote guide covers what an entry means within its table; the additional task here is to record what can be established about the displayed result's calculation context.
Then state the intended use. “Record the value shown in the supplied summary” is narrower than “confirm the number of documents in the source packet.” The first may be a description of a received display. The second requires evidence about the source packet and the calculation behind the number. A writer should not move from the first statement to the second merely because the cell looks like a total.
Selection is another separate question. The filtered-view scope guide helps identify which rows a view contains. Knowing the selected rows does not establish whether a result was recalculated; knowing a formula exists does not establish the completeness of the selected material. Preserve both limits when both affect the proposed wording.
Keep a compact calculation-context record
Use one record for each result that matters to the drafting question. Link to the authorised source instead of copying an entire workbook into a general note.
- Source locator: received file reference, worksheet, cell and the relevant table or heading.
- Displayed entry: exactly what was visible, with its unit or label and the observation date.
- Source form: workbook, supplied export or screenshot, and the access actually available.
- Formula evidence: whether a formula was inspected, whether only a value was visible, or whether this could not be established.
- Calculation context: any setting or refresh information actually observed or supplied, with its source; unknown information stays unknown.
- Difference or question: the precise mismatch, missing input reference or unexplained result that affects the intended statement.
- Disposition: what can be attributed to the received source, what remains unresolved and who is responsible for clarification.
These are suggested editorial fields. They are not a required StateClaimAI input format or a substitute for technical review. If formula details include unrelated or restricted information, use the approved reference and ask the responsible reviewer to provide the relevant conclusion within the authorised scope.
A fictional document-inventory discrepancy
Consider an original exercise with no real claim, customer or payment information. A supplied screenshot from “Packet Register B” displays a summary value of six under “Documents received.” A separate note from its creator says that two more documents were added after the screenshot was made. The screenshot does not establish the underlying formula or the workbook's calculation setting.
An unsupported sentence would be: “The current packet contains eight documents.” Adding two to the displayed six assumes that the earlier display was complete, that the later documents are additional rather than replacements, and that the two sources describe the same packet. None of those assumptions is settled by this exercise.
A bounded preparation note is: “The supplied screenshot displays six documents received. The creator's later note reports two additions; the current packet identity and corresponding summary have not yet been confirmed.” Attach the two source references and ask for a clarified summary tied to the same packet. Do not label the discrepancy a formula error without evidence.
Suppose the creator then provides a new identified export and explains the scope it covers. Add that response to the record and route the affected sentence for review. Preserve the earlier source reference so another reviewer can understand why the note changed. The new display remains an attributed source entry until the review required for the intended statement is complete.
Preserve the received source while resolving the question
Do not overwrite a received workbook simply to make its result agree with an expectation. Opening, recalculating, updating links or saving may change the working state, so use the organisation's authorised review method and distinguish a permitted working copy from the received version. This article does not ask a report writer to enable macros, refresh external connections or change calculation settings.
Where technical inspection is outside the writer's role, ask the document owner to explain the relevant result and provide an appropriately identified source view. Record what they actually confirmed. “The displayed summary was reviewed against these listed inputs” has a different scope from “the whole workbook was audited.”
If the owner cannot establish the result's basis, retain the unresolved status. A polished narrative should not hide the gap. Whether a qualified reviewer can use a narrowly attributed statement or must wait for further material depends on the actual drafting task; this worksheet does not make that professional decision.
Carry the limitation into the draft handoff
Use the source-labeling worksheet to keep the prepared statement linked to its source and clarification record. Check that shortening the note has not removed the difference between a displayed result and an independently checked conclusion. Also keep the date of the observation distinct from any date described by the underlying records.
When the necessary source notes are ready, continue in the StateClaimAI drafting workspace, retaining the manual review record in its approved location. Review generated wording against the supplied material and the site's editorial policy. For product-interface questions, use official support at [email protected] with only the information needed to explain the issue.
The useful outcome of this check is a traceable statement and a clear unresolved question where one remains. It is not a certification of the workbook or evidence that the underlying event, valuation or claim conclusion has been verified.
